Length of contract:           4 month contract starting asap

 

Key Responsibilities

  • Provide a good level and knowledge of Account Handling ensuring all campaigns are run to brief
  • Respond accurately and within acceptable timescales to all client communication and be point of contact for your clients on campaign queries
  • Understand and have good working knowledge of budgets and financial elements of campaigns
  • Manage Supplier Relations ensuring smooth delivery of all third party requirements
  • Research all required elements for clients and campaigns

 

Competencies

 Commercial awareness

  • Ensure you keep your Account Manager informed on any changes made to Paprika
  • Show a good understanding of budgets
  • Awareness of team targets and job budgets
  • Fully utilise Paprika (allocate cost, raise purchase orders and monitor expenses)
  • Work within budgets ensuring any overspend is signed off by your manager
  • Liaise with Suppliers and negotiate costs for all outsourced campaign requirements

 Client care & customer service

  • Support Account Managers and Client Services team in implementing and delivering campaigns
  • Monitor campaign data and compile reporting at agreed timescales
  • Provide a seamless service to clients by maintaining communication with both clients and Account Managers
  • Respond to client queries and report them to your line manger
  • Report and distribute contract reports with 24 hours of client meetings
  • Always provide the highest levels of customer service
  • Attend weekly WIP meetings with Line Manager to remain abreast of client activity
  • Negotiate with suppliers in line with outcomes agreed with your Account Manager

 Organisation & attention to detail

  • Ensure all administration is effectively carried out, including keeping activity files up to date, filing all client liaison, purchase orders, site visit forms, costs etc.
  • Schedule and book venues for activities as appropriate
  • Update activity on the internal iD systems
  • Monitor data from weekly Event Manager reports
  • Inform Account Manager and get their approval for supplier costs and purchase orders and process any changes on Paprika
  • Always remain aware of time management requirements
  • Carry out all tasks with excellent attention to detail

 Industry & iD knowledge

  • Work closely with field staff to ensure they deliver against agreed standards
  • Select and book field staff to your campaigns
  • Carry out venue/competitor/event research using appropriate methods
  • Present any research in an appropriate format in order to share knowledge gained internally and externally
  • Update insight systems accordingly
  • Proactive in developing knowledge of all aspects of Experiential Marketing

 Problem solving & creativity

  • Use initiative to solve problems effectively and efficiently
  • Where there is any doubt, liaise with line manager to approve the proposed solution

 Communication

  • Respond to all client queries in a timely and appropriate manner
  • Update or escalate any client issues with your Account Manager
  • Administration duties including updating databases with accurate staff information and feedback, obtaining staff receipts within two weeks of campaign completion
  • Daily communication with field staff to provide the smooth running of activities and updates

  • Offer ideas/solutions for implementing campaigns
  • Build strong relationships with field staff and clients

 Leadership & people management

  • Follow correct processes in dealing with staff issues such as disciplinary letters and pay issues

 Team work

  • Search databases in order to meet staffing requirements and brand fit
  • Perform site visits in order to carry out on site management duties including staff motivation, client liaison and logistical management
